Job Description

GENERAL DESCRIPTION:

The Incumbent will be do reception duties for the Reinvestment Unit under the auspices of Blood Tribe Social Development.  Incumbent will be responsible for the booking of all appointments, processing all incoming calls, channeling all incoming clients and visitors to the appropriate office personnel.  Will be assisting clients with resume/ cover letters, setting up e-mail addresses and ensuring all clients and visitors sign in indicating services accessed. Monitoring and ensuring monthly statistical data is up to date and accurate.

ORGANIZATIONAL RELATIONSHIPS:

  • Reports directly to the Executive Assistant

AREA OF SUPERVISION:

  • None

MAJOR DUTIES AND RESPONSIBILITIES:

  • Adhere to existing Blood Tribe Administration Policies and Procedures and any changes that may occur.
  • Provides receptionist duties to Reinvestment Unit.
  • Greet, announce and administer clients and visitors to the appropriate personnel and/or services provided.
  • Clients with appointment will be seen by the appropriate staff on a timely basis.
  • Visitors and other agency representatives – staff will be notified if people can be seen otherwise book an appointment.
  • Book appointments for clients.
  • Ensure appointments are properly booked in compliance with services required.
  • Ensure staff is aware of appointment for the day.
  • Drop-ins – Staff will be notified if clients and/or visitors can be seen and/or schedule an appointment.
  • Ask Supervisor and staff if they have scheduled any appointments for each day and input in appointment book.
  • Answer phones in a professional manner and ensure courtesy to all clients and visitors.
  • Maintain bulletin board for staff and participant messages.
  • Keep track of staff movements by maintaining attendance on a daily basis, record staff movement and ensure proper absences are recorded properly.
  • Answer all enquiries pertaining to the organization
  • Ensure all client registration forms are completed and updated.
  • Must maintain statistics on services provided.
  • Manage office supplies and orders.
  • Maintain existing filing system.
  • Assist clients with resume/cover letters, e-mail addresses and any other computer tasks.
  • Monitor and update Resource Library/Job Board and ensure all relevant resource materials are available.
  • Maintain cooperative working relation with other employees, agencies and communities.
  • Participate in an organized team environment.

NECESSARY KNOWLEDGE ABILITIES AND SKILLS:

  • The ability to speak and/or understand the Blackfoot language and culture an asset.
  • Excellent customer service.
  • Experience in employment related setting an asset.
  • Experience formatting resume/cover letters.
  • Excellent communication skills both oral and written.
  • Excellent computer skills with experience using Microsoft office applications.
  • Must have knowledge and experience with office equipment.
  • Should have prior switchboard and receptionist experience.
  • Ability to be consistent and reliable.
  • Should be a team player.
  • Maintain confidentiality in the workplace. 

 


Qualifications

NECESSARY TRAINING AND EXPERIENCE:

  • A Certificate in Office Administration with a minimum two years related work experience.
  • A combination of education and experience maybe considered
