Job Description

GENERAL DESCRIPTION:

 

The Administrative Assistant / Communications will work as part of a team of administration staff and under the direction of the Opioid Coordinator.  The incumbent is responsible for answering all incoming calls and directing to the appropriate personnel and directing employee or public inquiries as required. The incumbent provides clerical support such as typing letters and memos, drafting reports, taking and transcribing minutes, filing and record keeping, and preparing bi-weekly payroll. In addition, the incumbent organizes logistics for Department events including, scheduling meetings and making travel arrangements, and trainings. The incumbent should be multi-task orientated and be able to work as part of the team as well as unsupervised. The incumbent will also perform resource communication duties by liaising with assigned departments and / or entities in-regards to the goals of the Opioid Communications strategy.

 

 

ORGANIZATIONAL RELATIONSHIPS:

 

  • The Administrative Assistant reports directly to the Opioid Coordinator.

 

AREA OF SUPERVISION:

 

  • None

 

 

 

 

MAJOR DUTIES AND RESPONSIBILITIES:

 

  • Performs all duties and responsibilities in accordance with the Blood Tribe Administration Policies and Procedures  

 

  • Answers incoming calls for the Blood Tribe Opioid Office and directs and screens the calls to the requested or appropriate employee, taking messages for employees when necessary and ensures they receive the messages promptly.

 

  • Greets clients and public on the telephone or entering the Blood Tribe Opioid Office in a courteous manner and directs or assists clients and the public in contacting the appropriate or requested employee.

 

  • Assists the Opioid Coordinator, Data Analyst and all Opioid staff on administrative tasks.  

 

  • Maintains incoming and outgoing mailing lists.

 

  • Ability to generate job description for Administrative Assistant position after a three-month period.

 

  • Should have some experience with data entry and knowledge with excel.

 

  • Books meeting rooms and makes all necessary travel arrangements for the Opioid Coordinator and any additional staff members.

 

  • Attends meetings as required and must be proficient in composing minutes for the Department.

 

  • Maintains the filing system for the Opioid Office.

 

  • Composes and answers routine correspondence.

 

  • Orders office supplies and equipment for department as required.

 

  • Prepares the payroll for the Opioid staff and submits on a bi-weekly basis to the appropriate department.

 

  • Works with the Opioid Task Team, PWLE Advisory Group, Elders Advisory Group, (and more) in providing Administrative to support to team members.

 

  • Manages and develops communication tools in accordance with the Communications Strategy and works closely with the Blood Tribe Communications Departments. 

 

  • Assist with any other duties as assigned.

 

NECESSARY KNOWLEDGE, ABILITIES AND SKILLS:

 

  • Be able to deal diplomatically and professionally with staff and general public.

 

  • Ability to work with numerous partners, health professionals, government agencies, etc…

 

  • Have excellent verbal communication skills.

 

  • Have excellent interpersonal skills.

 

  • Good analytical and organizational skills.

 

  • Be highly motivated and able to work independently, should also be able to prioritize work as required

 

  • Should be very knowledgeable with the latest computer programs and have excellent database and word processing skills.

 

  • Have excellent listening skills.

 

  • An ability to communicate effectively in Blackfoot and knowledge of Blackfoot culture is an asset.

 

  • Experience working in an addiction’s facility, health centre / programming required.

Qualifications

NECESSARY TRAINING AND EXPERIENCE:

 

  • Must have a two-year Administrative Assistant Diploma with a minimum of three years related work experience.
  • A combination of relevant education and experience may be considered.
  • Must have a Class 5 Drivers License and reliable mode of transportation.
  • Must submit an updated Criminal Record Check
