The Administrative Assistant will work as part of a team of administration staff and under the direction of the Office Manager and Director. The incumbent is responsible for answering all incoming calls for Office Manager and Director, directing to the appropriate personnel and directing employee or public inquiries as required. The incumbent provides clerical support such as typing letters and memos, drafting reports, taking, and transcribing minutes, filing and record keeping, and preparing bi-weekly payroll. In addition, the incumbent organizes logistics for Department events including, scheduling meetings, and making travel arrangements, and trainings. The incumbent should be multi-task orientated and be able to work as part of the team as well as unsupervised. The Administrative Assistant is required to maintain confidentiality and professionally interact with employees, management, and the public.
ORGANIZATIONAL RELATIONSHIPS:
AREA OF SUPERVISION:
MAJOR DUTIES AND RESPONSIBILITIES: · Performs all duties and responsibilities in accordance with the Blood Tribe Administration Policies and Procedures and the Land Management Department Policy Manual. · When required, operates the Receptionist Phone for the Blood Tribe Land Management Department, and directs and screens the calls to the requested or appropriate employee, taking messages for employees when necessary and ensures they receive the messages, via email, promptly. All messages and incoming walk-ins are entered into the BTLM Department – CRM (Customer Relationship Management). · Greets clients and public on the telephone or entering the Blood Tribe Land Management Department in a courteous manner and directs or assists clients and the public in contacting the appropriate or requested employee. · Assists the Director and Office Administration Staff with administrative tasks. · Must be proficient with Microsoft Office or related software. · Reserves meeting rooms and makes all necessary travel arrangements for Director and any additional staff members. · Attends meetings as required and must be proficient in composing minutes for the Department. · Maintains the filing system for the Director and assists with the organization of filing system. · Orders office supplies and equipment for department as required. · Assist with any other duties as assigned.
NECESSARY KNOWLEDGE, ABILITIES AND SKILLS:
· Be able to deal diplomatically and professionally with staff and general public. · Have excellent verbal communication skills. · Have excellent interpersonal skills. · Good analytical and organizational skills. · Be highly motivated and able to work independently, should also be able to prioritize work as required · Should be very knowledgeable with the latest computer programs and have excellent database and word processing skills.
