Job Description
GENERAL DESCRIPTION:
The Distribution Clerk will maintain and file all records for the distribution department and will complete all research requests regarding past and present per capita distribution payments. The distribution clerk will be responsible for mailing out distribution cheques and direct deposit for distributions. The Distribution Clerk prepares reports on research findings for the Membership Registrar/Director.
ORAGANIZATIONS RELATIONSIPS:

The interest Distribution Clerk reports directly to the Membership Registrar/Director.
AREA OF SUPERVISION:
MAJOR DUTIES AND RESPONSIBILITIES:
-
Performs all duties and responsibilities in accordance with the Blood Tribe Administration Policies & Procedures Manual.

Receives in-coming calls regarding distribution payments and research
-
Maintains log of research requests and any pertinent information concerning such requests
-
Prepares and maintains files on research requests and trust accounts
-
Does research on trust accounts and prepares report on such to the Membership Director
-
Responsible for the Direct Deposit Processes to ensure that all information collected from membership is stored and entered securely into the Distribution Data Base so that it runs smoothly.

Monitors the Distribution Process with updated information on a daily basis for accuracy.

Assists in Distribution payments by preparing posters, correspondence and advertisement of distribution date, time and place.

Assists with supervision of casual employees during distribution and all other duties related to the distribution payments (catering, booking of facility, providing lists of casual employment)

Mails out distribution cheques as per regulations and records addresses for future references.

Maintains files regarding distribution correspondence (copies of cheques, cancelled cheques, and hard copy of distribution cheques)

Work with Director to prepare reconcile reports

Prepares and maintains electronic files on research requests and trust accounts

Maintains historical information on past distribution files.

Assists the Membership staff with the Blood Tribe Membership card process

Performs other duties as delegated by the Membership Director.
NECESSARY KNOWLEDGE, ABILITIES AND SKILLS:

Must possess excellent inter-personal skills and perform research and other duties in a timely manner

Must maintain professionalism in dealing with general public, co-workers

Ability to communicate in Blackfoot

Must have excellent oral and written skills in preparing reports

Have excellent organizational skills and time management skills

Knowledge of filing systems

Proficient with latest computer software

Must maintain confidentiality regarding research material and confidentiality in general regarding files in the Membership office.
Qualifications
NECESSARY TRAINING AND EXPERIENCE:
-
The Ideal Candidate must have a Business Administration Diploma with two years’ related work experience; a combination of relevant experience and training may be considered.

Must have a valid driver’s license and a reliable mode of transportation.

Must submit an updated Criminal Record Check
