Senior Administrative Assistant - GeneralPosted: Oct 21, 2025Closing Date: Nov 4, 2025 Job ID: Tribal Government Job DescriptionTerm - 2 Years with Possible Extention GENERAL DESCRIPTION: Reports to the TG Director and the Trustees, and liaises with the TG EA, this position is responsible for providing administrative assistance to the Trustees of the Blood Tribe Mismanagement of Assets Specific Claims Trust, the Blood Tribe Cattle Claim Long Term Investment Trust and the Kainaiwa/Blood Tribe Timber Limit Reserve 148A Specific Claim Trust (collectively referred to as the “Trusts”) in carrying out their duties and exercising their rights and powers under the Trust Agreements and in matters related to the Trust Property of each of the Trusts.

MAJOR DUTIES AND RESPONSIBILITIES - Performs all duties and responsibilities in accordance with the Blood Tribe Administration Policies and Procedures - Understand the terms of the Trust Agreements and the Trustee’s duties, powers and obligations under each. - Take direction from the TG Director and guidance from the TG EA in: · Maintaining accurate and complete records of all transactions affecting the Trust Property, including but not limited to, the expenditure, investment and distribution of any of the Trust Property. · Maintaining all ledgers, registers, minutes of meetings of Trustees and any other documents or recording of transactions related to or affecting the Trust Property; and · Assisting with the Trustees’ reports to the Blood Tribe annually on the administration and status of the Trust Property and the Trusts generally and providing the Blood Tribe Council with a copy of all ledgers, registers, minutes of meetings of Trustees and documents or recordings of transactions affecting the Trust Property as maybe requested by Council. · Set up authorized business accounts for each Trust as may be required. · Assist in preparing budgets for each Fiscal Year for each Trust for approval by Trustees and Council in conjunction with TG Director or EA. · Facilitate provision of reports from Investment and financial institutions regarding Trust Property status, investments, activities, etc. on a regular basis. · Compile all relevant financial documentation to assist the audit process and ensure timely review of audited financial reports by Trustees. · Ensure the approved Trustees’ operating and administrative budgets stay within approved allocations · Draft BCRs and Resolutions for each Capital Project based on templates prepared by legal counsel. · Be familiar with policies and procedures required to facilitate the review and approval process for Business Plans as relates to the release of funds for capital project allocations, update as may be required. · Receive invoices for Capital Projects and process them in accordance with the “Approval Process for Capital Projects Receiving Funds from the Assets Trust and Cattle Claim Trust”. · Ensure Trust project allocations stay within approved limits by preparing spreadsheets showing capital project allocations from each trust for each project and spreadsheets for each capital project to keep running total of expenses to date to ensure the project are not over expensed; review and update as new invoices are received. · Act in accordance with policies, procedures, resolutions and motions passed by the Trustees. · Organize an annual strategic planning session for the Trustees. · Assist the Trustees in ensuring that the Trust Property is only used or distributed in accordance with the Trust Agreements. · Work with the Trustees’ professional advisors, including legal counsel, accountants, auditors, investment advisors, financial advisors or other professionals who may be retained from time to time by the Trustees. Keep in contact with investment firms and financial institutions as necessary. · Ensure all official records and documents are maintained and safeguarded, ensuring compliance with Blood Tribe, federal and/or provincial regulations. · Assist in ensuring that controls are in place and consistent with sound management practices and Trust law. · Keep track of time and duties spent on each Trust and invoice the Trusts in accordance with the time spent. · Provide general administrative support by performing duties such as records management; filing, scheduling meetings, typing letters, memos, reports, taking and transcribing minutes; processing invoices, payables and other expenses and making travel arrangements for Trustees NECESSARY KNOWLEDGE, ABILITIES AND SKILLS: · Highly motivated and well organized · Must be objective and fair. · Must have tact, diplomacy and good interpersonal skills. · Proficiency in the use of computers and Microsoft Office Suite, particularly Outlook, Word and Excel. · Excellent verbal and written communication skills as well as presentation skills. · Understanding of accounting and financial management practices, GAAP, budgeting and cost accounting, standards, guidelines, policies and legislation. · Ability to work under supervision as well as part of a team. - Excellent time and project management skills and the ability to work to deadlines QualificationsNECESSARY TRAINING AND EXPERIENCE:
