The Administrative Assistant will work as part of a team at Blood Tribe Early Learning & Childcare Centre under the direction of the Manager. The incumbent provides clerical support such as typing letters and memos, drafting reports, taking and transcribing minutes, filing and record keeping. In addition, the incumbent organizes logistics for department events including, scheduling meetings and making travel arrangements, and trainings. The incumbent must be able to multi-task, work as part of the team, and work unsupervised on certain occasions.
ORGANIZATIONAL RELATIONSHIPS:
The Administrative Assistant reports directly to Blood Tribe Early Learning & Childcare Manager
AREA OF SUPERVISION:
The Administrative Assistant will supervise the Receptionist
MAJOR DUTIES AND RESPONSIBILITIES:
Performs all duties and responsibilities in accordance with the Blood Tribe Administration Policies and Procedures
Works with the Receptionist on administrative tasks.
Must have excellent data entry skills and have extensive knowledge with the lates excel software
Books meeting rooms and makes all necessary travel arrangements for the Manager and Centre Supervisors and any additional staff members.
Attends meetings as required and must be proficient in composing minutes for the department.
Maintains the filing system for the Manager and the Centre Supervisors.
Composes and answers routine correspondence.
Reviews staff timesheets to ensure they are complete and align with the YTD Attendance Report received from BTA HR on a quarterly basis and forward to Manager and Supervisors for approval.
Answer phones when the Receptionist is not available.
In collaboration with the Childcare Supervisor, updated and organized childcare waitlists
Assist with any other duties as assigned.
NECESSARY KNOWLEDGE, ABILITIES AND SKILLS:
Must be able to deal diplomatically and professionally with staff and general public.
Must have excellent verbal and written communication skills.
Must have excellent interpersonal skills.
Must have analytical and organizational skills.
Be highly motivated and able to work independently, should also be able to prioritize work as required.
Must be very knowledgeable with the latest computer programs and have excellent database and word processing skills.
Must have excellent listening skills.
An ability to communicate effectively in Blackfoot would be considered an asset. QualificationsNECESSARY TRAINING AND EXPERIENCE:
